Virtual Domain Server

Basic Information

A Virtual Domain Server (VDS) is a service that hosts mail, Domain Name System (DNS), websites, and other services on a server in the Information Technology Center. It is provided as one of the UEC private cloud services. Please refer to Service Details for the details of the features and limitations.

The advantages of using this service include

  • No server hardware maintenance (e.g., during power outages)

  • No server software administration (security updates, etc.)

  • No IP address management work is required.

  • Users can focus on managing their content (web pages, email accounts, DNS records).

It has the above advantages. On the other hand, the disadvantage is that

  • Users cannot add their own plug-ins or settings to the server software.

  • Because the server is shared with other tenants, capacity and performance are not guaranteed (best-effort operation).

The above are some of them.

How to use

  1. Confirm the domain to be used.

Decide the domain to be used. If you wish to use a new domain directly under uec.ac.jp, please apply for it separately referring to Subdomains directly under uec.ac.jp. If you wish to use an existing subdomain or a subdomain of an existing subdomain, please confirm with the administrator of the subdomain whether or not you can use it.

  1. Submit application for use (Information Technology Center, 4th floor,East Bldg. 3)

Please follow the Use procedure.

  1. Confirmation of registration completion notification and start of use

After your application is accepted and registration is completed, we will send an email to the representative and administrator of your application with instructions on how to log in to the system and manage the contents. Please follow the instructions to start using the system.

Caution

If you want to use this service for multiple years, you need to apply for the continuation of the service.

Procedures

Application for use

Decide a representative and a responsible person, fill out the Application for Virtual Domain Server in the Application List of the Information Technology Center, and submit it to the Business Office of the Information Technology Center (4th floor, East Bldg. 3).

The Representative should be a full-time faculty member who is the head of a laboratory or center, etc., and who is responsible for the domain name and URL name used in this service. The Responsible Person should be a full-time faculty member who is responsible for the content management of each service. The Representative and Responsible Person may serve concurrently.

Continuing Application

If you wish to continue to use the virtual domain server for the next year, please follow the procedure below to apply for continuation by March 31.

  1. The Information Technology Center will send you an application form (PDF file that you can fill out) to continue using the service.

In mid-March, a PDF file will be sent to representatives and administrators by email, which can be used to fill out the form.

  1. Fill out the Application for Continued Use and submit it by e-mail.

How to fill out the Application for Continued Use Form, please fill out the form in the PDF file and send it by e-mail to the designated address that we will inform you separately.

  1. Confirmation of application details

The Information Technology Center will review your application and send a confirmation e-mail to the representative and administrator. Please check the details of your application again. If there are no doubts, the procedure is complete.

Note

In order to simplify the administrative procedures, we ask for your cooperation in sending us the PDF with the form by e-mail. Please note that it may take longer to complete the procedure if the application is submitted by text mail or printed paper.

How to fill out the Application for Continued Use

A part of the registration information has been entered in advance in the application form for continued use. Please check the contents and enter the following information.

  • Please read the notes and check the I agree box.

  • Applicant Information

    • Applicant’s name Name of Representative or Manager

    • Contact person (Please check the box for the applicant’s contact person)

      Check the appropriate boxes for Representative, Administrator, and Representative and Administrator.

    • UEC Account

    • extension number

  • Management information (Representative, Manager, etc.) has been changed.

    If there are changes, check Yes. If you check :yes, please submit Administration Change Request as well.

  • Application Information for Virtual Domain Server Service

    Please choose to continue or discontinue each service you are using.

    If you choose to discontinue the service, please submit discontinuance notice separately.

Management change application

If there are any changes to the management information such as Representative or Administrator, please make sure to apply at Virtual Domain Server Administration Change Form (for UEC Cloud Account only) .

application for abolition

If you wish to discontinue the use of a virtual domain server, please submit a discontinuation notice. Please download the management change form from the Application form list of the Information Technology Center, fill in the form, put your seal on it, and submit it to the Information Technology Center Office (4th floor, East Bldg. 3).

In this application, you can specify the desired date of discontinuation. Discontinuation work, such as disabling settings and deleting data, will be performed after the desired discontinuation date. Please specify the desired date well in advance, taking into account the data transfer and the notice period.

Service Details

mail

This service provides sending/receiving mail and mailing list functions using your own subdomain. SMTP can be used for sending mail, POP3 or POP3s can be used for receiving mail, IMAP cannot be used. IMAP is not available. You can also set up mail forwarding for those who have moved out.

**Sending and receiving mails by this service is available only from the campus network. ** If you want to use this service from off-campus, please use VPN service.

To use this service, you need a mail account and a mailing list administrator. Administrators can manage mail accounts and build and configure mailing lists from the web interface.

Please note the following points when using this service.

  • DNS registration is required to ensure that mail is delivered to the requested domain.

  • If you put the mailing list address in the blind carbon copy (Bcc:), the mail will not be delivered.

  • If you nest mailing lists, mail will not be sent to the inner mailing list.

  • Approval is also required for the moderator’s (the person who checks the post in advance) own post.

    If the mailing list is moderated, the moderator’s own posts will also require approval. When a moderator posts an email to the mailing list, an email with the subject 「MODERATE for …」 will be sent to the moderator. When replying, please make sure that the address is list-name-accept-random-string@domain-name.

  • It is not possible to specify another mailing list as the moderator’s email address. The moderation function does not work correctly when I register another mailing list as the moderator’s email address. Please register a personal email address that is not a mail list.

Caution

In order to use this service, DNS settings (SPF using A records, MX records, and TXT records) are required for the host name you have applied for. Please consult with your domain administrator in advance.

DNS

Caution

Due to the introduction of Subdomain DNS Record Management System, the DNS service for virtual domain servers will stop accepting new registrations from November 1, 2023. We will guide you how to use Subdomain DNS Record Management System when you register a subdomain.

This service provides DNS services using BIND9. The user does not manage the DNS server itself, but only manages the zone (file).

It is operated as a split DNS where the internal zone and the external zone are separated. Therefore, different responses can be returned for DNS access from within the university and DNS access from outside the university. It is possible to set host names for private addresses in the zone for internal use, and host names for global addresses assigned to public servers in the zone for external use, etc.

This service requires an administrator with the skills to properly edit BIND9 zone files. The zone file administrator will map host names to IP addresses, create zone files based on that information, and transfer them to the virtual server via FTP.

The transferred zone file will automatically become effective in about five minutes. The user is responsible for managing the zone file and contacting the high-level domain.

Web

This service provides a space to place web pages that can be viewed from inside and outside the university. It is also possible to create dynamic content using CGI or PHP.

In order to use this service, an administrator is required to manage the contents of the web pages (web contents). The administrator creates the web pages and transfers the created web pages to the server by FTP.

From the virtual server, it is possible to obtain access logs and error logs for the web content.

Caution

In order to use this service, DNS settings (SPF using A records, MX records, and TXT records) are required for the host name you have applied for. Please consult with your domain administrator in advance.

Warning

The virtual domain servers (post-4, post-5) that have been in service since March 2016 can perform HTTP communication (HTTPS), which is a secure connection provided by the SSL/TLS protocol.

Operation

Currently, the following five servers are in operation.

Currently, mail and DNS services for business and education are built on post-2, while web services are built on post-4. The mail service for alumni and club activities is built on post-3, and the web service is built on post-5.
